Clinic Receptionist and Clinic Health Information
Glenwood Medical Center is seeking a friendly and organized clinic receptionist. This person will also assist clinic health information as needed. The position is full-time, working in both of these roles.
Clinic Receptionist
Position Overview
Provide a favorable first impression to patients, and support the quality of medical care by assisting staff and patients.
Duties and Responsibilities
- Provide everyone with an exceptional experience at each interaction – including greeting, smiling, tone of voice, and facial expressions.
- Schedule appointments, as well as coordinate multiple appointments using scheduling protocol.
- Check patients in, review and update patient information (name, address, phone number, insurance information, etc.). Use Eligibility Software.
- Set up new patient accounts.
- Communication with peers.
- Answer and direct incoming phone calls and messages. Use the paging system as necessary.
- Direct patient questions and concerns including bills and insurance to appropriate GRHS personnel.
- Accept and record payments for patient bills.
- Balance cash at the end of the day.
- Check satellite clinic bags.
- Assist hospital receptionist and outreach scheduler.
- Maintain a clean desk and general office space.
Qualifications
- Medical Administration Specialist or comparable degree is preferable or equivalent work experience.
- Proven experience maintaining good working relationships with other staff.
- Ability to use an EMR for patient documentation.
Clinic Health Information
Duties and Responsibilities
- Set up referral appointments for other clinics, specialty providers or primary care as directed by the provider orders.
- Prioritize incoming referrals and coordinate scheduling in an efficient manner.
- Documents all referral progress and attempts in the electronic medical records.
- Schedule mammograms, CT scans, ultrasounds, surgery, or any outpatient procedures and referrals as directed by the physician.
- Receive follow-up calls and answer patient inquiry calls regarding the status of the referrals.
- Send reports of clinic notes, pap smears, mammogram results, labs, and other documentation as requested under the direction of the physician or nurse team to complete the referral process.
- Update the referral status to reflect what stage it is in the process in order to track and close the referral loop.
- Explain procedures and preparation to patients regarding their referral, seeking clarification from the nurse provider teams when appropriate.
- Work closely with other departments such as the business office, prior authorization, or workers compensation team to ensure coverage is identified for referrals.
- Educate the nursing team on referral updates and areas of concern.
- Scan documents, etc.
Qualifications
- Reception, Scheduling, or Health Information experience preferred.
- Prior clinic experience preferred.

- Must be able to perform the physical requirements of the position.
Schedule
- Full-Time
- Weekend receptionist rotation at Glenwood Medical Center’s Walk-In Clinic.
